Responsibilities of Area 15 Accessibilities Committee Officers

Chairperson:

  • Attends all scheduled quarterly committee meetings, and virtual meetings where feasible.
  • Prepares meeting agenda and chairs the quarterly committee meeting
  • Prepares meeting agenda for virtual meetings and chairs the virtual
    committee meetings held monthly
  • Responsible for relaying any information from the Accessibilities desk at our General Service Office to Committee
  • Ensures all necessary communication items are provided to the Secretary/Treasurer for distribution to the committee and guests.
  • Presents a report of Committee activities orally at the Area business meeting and in written form for inclusion in the Accessibilities Committee and Area minutes.
  • Attends planning committee meetings for the Quarterly Coordinator Committee and hosting district on Saturday evening to aid in placing districts that have accessibility barriers closer to the exits where possible.
  • Makes arrangements with the American Sign Language (ASL) interpreter for all necessary events at each quarterly.
  • Reports this information to the quarterly coordinator Committee two weeks prior to the quarterly so that the program can be properly starred for the ASL events
  • Will be responsible for placing reserved chairs to the right of the podium with reserved placards on the chairs
  • Will be responsible for finding out if we have any quarterly members that may need sign language for the deaf or lip readers and make sure they get seated properly
  • Will be responsible for finding out if we have any quarterly members that may need special seating i.e., people with wheel chairs, scooters and walkers
  • Give Committee recommendations on agenda items for the General Service Conference regarding Accessibilities to Area Delegate at the Area Assemblies.
  • Committee Chair receives one night’s lodging from Area 15 treasurer.

Suggested Qualifications for Area 15 Accessibilities Committee Chairperson:

  • Three years of continuous sobriety
  • One year of Accessibilities Committee experience or two years of any standing committee experience

Alternate Chairperson: Even though the alternate chairperson does not get reimbursed for services rendered to the committee. There are many things that the person in this position can help with for learning leadership responsibilities. This position has been given more responsibilities.

  • Performs the duties of the Committee Chairperson when Committee Chairperson is absent
  • Attends all scheduled quarterly committee meetings, and virtual meetings where feasible
  • Requests two display tables for each quarterly from the quarterly coordinators committee at least 2 weeks prior to the quarterly
  • Will be responsible for the Accessibilities display board. This to include taking pictures of the display each quarterly, keeping the display in their possession by transporting same display back and forth to the quarterlies. Could request the next hosting district committee chairperson take the display with them
  • Takes the responsibility to either assign someone or does it themselves to dismantle the display after the Saturday night speaker and make sure it is properly stored and maintained until the next quarterly
  • Requests for committee members to help with staffing the display table, Friday, and Saturday (May set up a signup sheet)
  • Requests that all serving district chairpersons bring local material from their district to put on the display table. Bring sufficient copies
  • Make or have made small placards made for the committee members to display on their quarterly badges. ASK,WE CAN HELP
  • Alternate Committee Chair receives one night’s lodging from Area 15 treasurer when the Committee Chairperson is absent

Suggested Qualifications for Area 15 Alternate Accessibilities Committee Chairperson:

  • Three years of continuous sobriety
  • One year of Accessibilities Committee experience or two years of any standing committee experience

Secretary/Treasurer:

  • Attends all scheduled quarterly committee meetings, and virtual meetings where feasible
  • Maintains a sign-in sheet for each meeting, quarterly and virtual
  • Acts as the communication liaison from the chairperson to the committee members and guests
  • Sends any and all communications, at the chairperson’s request, or a committee member’s request, to the committee members and guests that have attended our meetings
  • Keeps a continual confidential record of the District Chairpersons and guests on the computer, numerical by district and alphabetically within each district after each meeting
  • This list is maintained for purposes of communication between the Area 15 Accessibilities chairperson, the committee chairpersons and guests that have attended our meetings.
  • An updated list will be provided to the Area accessibilities chairperson at each quarterly
  • Takes notes and records the meetings from an outside recorder to verify information to prepare minutes for each meeting.
  • Sends the typed minutes (with a set format) via e mail to the voting committee members, which will be the Area 15 Accessibilities chairperson and the District Accessibilities Chairpersons. These people can share the minutes with their personal committee members and their district as well
  • The voting members will contact the Secretary whether there are any corrections or additions to the minutes once received. (a time limit of 2 weeks will be sufficient time for notification). The minutes will be set for acceptance at the next meeting whether virtual or quarterly depending on the majority in attendance. The minutes can also be accepted via e-mail and a poll if asked by the Accessibilities Secretary/treasurer from the Accessibilities Chairperson
  • Gives the greeters and the registration table volunteers the telephone numbers of the Chairperson, Alternate Chairperson and Secretary/Treasurer
  • Requests funds from the Area treasurer when required
  • Reports committee expenses verbally at the Area business meeting and written form for inclusion in the Committee minutes and the Area minutes
  • Checks links on Accessibilities Web Page once each quarter to make sure the links are working.
  • Secretary/Treasurer receives one night’s lodging from Area 15 treasurer

Suggested Qualifications for Area 15 Accessibilities Committee Secretary/Treasurer:

  • Three years of continuous sobriety
  • One year of Accessibilities Committee experience or two years of any standing committee experience
